When and with whom do we share personal information? Most importantly, with the charter operators you select to fulfill a flight. Also with our service providers (cloud hosting, CRM, communications), and with administrators within your organization if you use a company account.

How do we keep your information safe? We have appropriate organizational and technical processes and procedures in place to protect your personal information. However, no electronic transmission or storage technology is 100% secure, and we cannot guarantee that unauthorized third parties will not be able to defeat our security.

What are your rights? Depending on where you are located, applicable privacy law may give you certain rights regarding your personal information.

1. What Information Do We Collect?

Personal information you disclose to us

In Short: We collect personal information that you provide to us.

We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.

Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us, the choices you make, and the products and features you use. The personal information we collect may include the following:

  • Names
  • Email addresses
  • Phone numbers
  • Mailing and billing addresses
  • Company name, role, and authentication credentials
  • Contact preferences
  • Passenger names, dates of birth, gender, weight, and nationality
  • Trip and itinerary information including routing, dates, FBO preferences, and ancillary requests
  • Documents and images you upload (passports, government IDs, credit cards, invoices, receipts, trip-related attachments)

Sensitive information

When necessary, with your consent or as otherwise permitted by applicable law, we process the following categories of sensitive information:

  • Financial data, including complete credit card details (card number, cardholder name, expiration date, billing address, and CVV). Private aviation requires us to forward payment instruments to the charter operator fulfilling each flight, so these details are stored encrypted at rest until the booking is complete or you remove them. They are not used by FlightWise for our own billing.
  • Government-issued identification, including passport numbers, nationality, and images of passports or state-issued IDs. These are used to prepare passenger manifests and to satisfy operator and regulatory requirements for international or compliance-sensitive flights.
  • Biometric authentication signals. If you enable Face ID or Touch ID, biometric matching is performed entirely on your device by Apple's Secure Enclave. FlightWise never receives or stores your biometric data.

Application data

If you use our application, we may also collect the following information if you choose to provide us with access or permission:

  • Geolocation Information. We may request access to approximate location-based information from your mobile device while you are using our application, to show airports and aircraft near you. We do not request "Always" or background location, and approximate location is not transmitted to our servers. You may change this access at any time in your device settings.
  • Mobile Device Access. We may request access to your device's camera (to photograph credit cards, IDs, and travel documents), photo library (to upload existing images), and calendar (to write flight events you ask us to add). We do not read your existing calendar contents.
  • Mobile Device Data. We may receive limited device information such as device model, operating system version, and Apple Push Notification service (APNs) device tokens, used to deliver push notifications associated with your account.
  • Push Notifications. We may request to send you push notifications regarding your account, flight updates, and time-sensitive alerts. You may turn these off at any time in your device settings.

This information is primarily needed to maintain the security and operation of the application, for troubleshooting, and to deliver the features you request.

All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.

Information automatically collected

In Short: Some information — such as your IP address and browser characteristics — is collected automatically when you visit our Services.

We automatically collect certain information when you visit, use, or navigate the Services. This information does not by itself reveal your specific identity but may include:

  • Log and Usage Data. Service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services and which we record in log files. Depending on how you interact with us, this may include IP address, device information, browser type, request paths, response codes, and timestamps. We use these logs for security, debugging, and audit purposes.
  • Device Data. Information about the computer, phone, tablet, or other device you use to access the Services, including IP address, device and application identifiers, hardware model, operating system, and system configuration.

The iOS application does not embed third-party analytics, advertising, or session-replay SDKs. We do not collect the Identifier for Advertisers (IDFA), and we do not engage in tracking as defined by Apple's App Tracking Transparency framework.

2. How Do We Process Your Information?

In Short: We process your information to provide, improve, and administer our Services, to facilitate your bookings, to communicate with you, for security and fraud prevention, and to comply with law.

We process your personal information for a variety of reasons, depending on how you interact with our Services, including:

  • To facilitate account creation, authentication, and ongoing management
  • To deliver and facilitate the Services to the user
  • To process flight bookings, quotes, and ancillary service requests
  • To forward payment, passenger, and trip details to the charter operator you select to fulfill a flight
  • To deliver intelligence features including route assessment, market pricing, operator recommendations, and flight-time analysis
  • To send administrative information, transactional notifications, and product updates
  • To respond to user inquiries and offer support
  • To save or protect an individual's vital interest, such as preventing harm
  • To identify usage trends and assess the effectiveness of our Services
  • To prevent fraud, maintain security, and enforce our terms
  • To comply with our legal obligations

4. When and With Whom Do We Share Your Personal Information?

In Short: We share information in specific situations and with specific third parties as described below. We do not sell your personal information.

We may share information in the following situations:

  • Charter Operators. When you request a quote or book a flight, the relevant trip details — including passenger manifest, payment instrument, and routing — are shared with the operator(s) you select to fulfill the service. Each operator is a separate company with its own privacy practices, and we encourage you to review them.
  • Service Providers. Third-party vendors that perform services on our behalf, including cloud hosting and infrastructure (Cloudflare), customer-relationship management and document storage (Zoho), and transactional email and push delivery infrastructure. These providers are contractually obligated to protect your data.
  • Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
  • Affiliates. We may share your information with our affiliates, in which case we will require those affiliates to honor this Privacy Notice.
  • Your Organization. If you use FlightWiseOS through a company account, administrators in your organization may have access to flight data, analytics, and account settings associated with that organization.
  • Legal Requirements. We may disclose your information when required to do so by law, subpoena, or legal process, or to protect the rights and safety of FlightWise, our users, or the public.

5. Do We Use Cookies and Other Tracking Technologies?

In Short: The marketing website does not set tracking, advertising, or analytics cookies. The iOS application does not use cookies at all.

The marketing website does not set advertising, behavioral, or analytics cookies. Account-related cookies are used only within the FlightWiseOS application itself for sign-in sessions. You can control cookies through your browser settings.

Bot protection (Cloudflare Turnstile). The "Try It Out" signup form uses Cloudflare Turnstile to distinguish humans from automated bots without showing a visible CAPTCHA challenge. Turnstile runs in the background when you submit the form and may set short-lived browser storage entries and read non-personal signals (such as browser characteristics, mouse and touch events, and a network token) to make this determination. No personal information you enter into the form is sent to Cloudflare for this check. Cloudflare's handling of this data is governed by the Cloudflare Turnstile Privacy Addendum, which we incorporate here by reference, together with the Cloudflare Privacy Policy.

6. Do We Offer Artificial Intelligence-Based Products?

In Short: Yes, we offer AI-assisted features within FlightWiseOS to help you make better travel decisions. We do not use your personal data to train third-party AI models.

As part of our Services, we offer AI-assisted features such as route assessment, market pricing analysis, operator recommendations, and conversational assistance ("AI Products"). These features are built on top of large language models provided by reputable AI vendors (including Anthropic). When an AI Product processes a request, it may receive limited context drawn from your account — for example, the legs of a quote you are reviewing or summary statistics about your prior flights — so that it can produce a relevant response.

We do not authorize our AI vendors to retain your data for the purpose of training their general-purpose models. Inputs and outputs may be temporarily stored by us for debugging, abuse prevention, and quality improvement, and are subject to the same retention and security practices as other personal information.

7. iOS Permissions and App Data

The FlightWiseOS iOS application may request the following permissions. You can grant or revoke each permission at any time in iOS Settings.

  • Camera: To photograph credit cards, passports, government-issued IDs, and other travel documents you wish to upload.
  • Photo Library: To select existing photos of cards, IDs, or documents for upload.
  • Location (When In Use): To show airports and aircraft near your current location. Approximate location only; never used in the background.
  • Calendar: To add your booked flights to your device calendar at your request. We write events when you ask us to; we do not read your existing calendar.
  • Face ID / Touch ID: To unlock the app and authorize sensitive actions. Biometric data never leaves your device.
  • Push Notifications: To deliver flight updates, booking confirmations, and time-sensitive alerts.

8. How Long Do We Keep Your Information?

In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Notice unless otherwise required by law.

We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). Flight history is maintained as a permanent record for your organization's benefit. Payment instruments are retained until you remove them or we are no longer providing services to you.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

9. How Do We Keep Your Information Safe?

In Short: We aim to protect your personal information through a system of organizational and technical security measures.

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. These include TLS encryption in transit, encryption at rest for sensitive fields (including payment card details), authentication tokens stored in the iOS Keychain on your device, request-level audit logging, rate limiting, and least-privilege access controls.

However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.

10. Do We Collect Information From Minors?

In Short: We do not knowingly collect data from or market to children under 18 years of age.

FlightWiseOS is intended for use by adults managing private aviation services and is not directed to children. We do not knowingly solicit data from or market to children under 18 years of age. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependents' use of the Services. Passenger records may include information about minors traveling with an account holder; that information is provided by, and the responsibility of, the account holder. If we learn that personal information from users less than 18 years of age has been collected without verifiable parental consent, we will deactivate the account and take reasonable measures to promptly delete such data from our records. 11. What Are Your Privacy Rights?

In Short: Depending on your state of residence in the US or in some regions, such as the European Economic Area, United Kingdom, Switzerland, and Canada, you have rights that allow you greater access to and control over your personal information.

In some regions (like the EEA, UK, Switzerland, and Canada), you have certain rights under applicable data protection laws. These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure, (iii) to restrict the processing of your personal information, (iv) if applicable, to data portability, and (v) not to be subject to automated decision-making. In certain circumstances, you may also have the right to object to the processing of your personal information.

We will consider and act upon any request in accordance with applicable data protection laws.

If you are located in the EEA or UK and you believe we are unlawfully processing your personal information, you also have the right to complain to your Member State data protection authority or UK data protection authority.

If you are located in Switzerland, you may contact the Federal Data Protection and Information Commissioner.

Withdrawing your consent. If we are relying on your consent to process your personal information, you have the right to withdraw your consent at any time. Please note that this will not affect the lawfulness of processing before its withdrawal, nor will it affect processing of your personal information conducted in reliance on lawful processing grounds other than consent.

Account information. If you would at any time like to review or change the information in your account or terminate your account, you can contact us at contact@fwadvisers.com. Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms, and/or comply with applicable legal requirements.

12. Controls for Do-Not-Track Features

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.

California law requires us to let you know how we respond to web browser DNT signals. Because there is not yet an industry or legal standard for recognizing or honoring DNT signals, we do not respond to them at this time.

13. Do United States Residents Have Specific Privacy Rights?

In Short: If you are a resident of certain US states, you may have additional rights regarding access to and use of your personal information.

Residents of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Tennessee, Texas, Utah, and Virginia (and any other state with comparable laws in effect) may have specific rights regarding their personal information under applicable state laws. These may include:

  • The right to know whether or not we are processing your personal data
  • The right to access your personal data
  • The right to correct inaccuracies in your personal data
  • The right to request the deletion of your personal data
  • The right to obtain a copy of the personal data you previously shared with us
  • The right to non-discrimination for exercising your rights
  • The right to opt out of the processing of your personal data if it is used for targeted advertising, the sale of personal data, or profiling in furtherance of decisions that produce legal or similarly significant effects ("profiling")

We do not sell or share personal data as those terms are defined under California, Colorado, or other state privacy laws, and we do not engage in targeted advertising or profiling that produces legal or similarly significant effects.
